Information we receive
When you contact us by email, telephone, WeChat or WhatsApp, we receive the information you choose to share: for example your name, company, email address, telephone number, messaging account, destination country, product specifications, quantities, reference images and enquiry history. Information is voluntary, but we may be unable to answer or arrange a quotation without the relevant requirements and a way to reply. Please avoid unnecessary identity documents or sensitive information.
Website hosting and technical services may process connection information such as IP address, browser/device details, requested pages, timestamps and error or security logs to deliver and protect the website. Website features may also use cookies or similar browser storage. This technical information is distinct from the procurement details you send us.
Purposes and legal bases
We use enquiry information to reply, understand product or training needs, discuss sourcing, prepare quotations and arrange agreed follow-up. Where GDPR applies, steps you request before entering a contract and performance of a contract form the basis where you are the prospective contracting party. For enquiries made on behalf of a business, our legitimate interest is communicating with its representatives and handling its request. Our legitimate interests also include protecting the website and addressing misuse. Records required by applicable law are processed to meet those legal obligations.
Where required, optional marketing, non-essential tracking and the disclosure of buyer identity or contact details to a manufacturer require your consent. Sending an enquiry does not subscribe you to marketing. You may decline optional processing or withdraw consent; withdrawal does not affect processing that was lawful before withdrawal.
Retention
General enquiry records are retained for six months after the last substantive communication, then deleted or anonymised unless the enquiry becomes an order or contract, a dispute requires preservation, or applicable law requires longer retention. Order, contract and accounting records follow the applicable legal requirements. Technical logs and backups are retained according to their operational and security purposes and the relevant service settings; the six-month enquiry period does not describe every provider’s logs, backups or messaging records. You may contact us about the retention applicable to a particular record.
Manufacturer coordination and sharing
ShangTop normally shares only the product, quantity, specifications and other procurement requirements necessary for manufacturer discussions. We do not routinely disclose the buyer’s name, company identity, telephone number, email address or messaging account. Buyer identity or contact details are shared with a manufacturer only after the buyer expressly agrees to the recipient, purpose and information to be shared, and only within that scope. You may decline this disclosure and continue communicating through ShangTop. We check reference materials for identifying details before forwarding them.
Website hosting and technical support are provided through Hostinger and WordPress-based services. The website includes Hostinger website-assistant and Reach components and WooCommerce technical components. Depending on the feature used, these services may process technical information and the content you submit. Do not enter confidential procurement information or sensitive personal information into an automated assistant. Our published email uses Gmail; messages sent through WeChat, WhatsApp or social platforms also involve those providers. Providers’ own privacy notices govern processing for their own purposes. See Hostinger’s privacy notice. A normal external social link takes you to that platform when selected.
International processing
ShangTop operates in China, and enquiry information sent to us is accessed and processed there. Hosting, email, messaging and other technical providers may process information in other countries, whose laws may differ from those of your country. Contact us before sending information if you need details of processing locations, the applicable transfer arrangement or a copy of relevant safeguards. This policy does not mean that China has received an EU adequacy decision or that every provider uses the same transfer mechanism. Where the law requires a transfer safeguard or separate consent, the required arrangement must be addressed for the relevant disclosure; agreement to these website terms is not blanket consent to international transfers.
Your rights and choices
Email shanglink1990@gmail.com to request access, correction or deletion, or information about retention and sharing. Depending on applicable law, you may also request restriction, object to processing, obtain a portable copy, withdraw consent and complain to a competent data protection authority. We may request proportionate identity verification and will respond within the applicable legal time limit. Some requests may be subject to legal exceptions, which we will explain where relevant.
